Our Volunteer Opportunities

Once you become a COSS member, there are numerous opportunities for you to make a bigger impact in the community and our organization. We hope you will take an active interest in our various open officer and committee positions.

  • Preside over and create an agenda for the General and Board meetings.
  • Ex-officio member of standing committees.
  • Perform other duties as assigned by the Executive Committee.
  • Plan and implement the indoctrination of the President-Elect.
  • Supervises affairs of the board.
  • Primary contact for the group.

Vice President

  • The VP main role is to be the 2nd in line for the back up to the COSS President.  
  • As a result, the VP attends as many as overall responsibility steering committees as possible to be in the know for back-up preparation.  
  • Also takes on the role as board recruitment and any other ad hoc items that need attended to.

  • The secretary shall take minutes of the Council and executive Committee
  • Maintain an up-to-date copy of the Bylaws for officers and any others wanting it
  • And be the custodian of all “legal” records except for the Treasurer’s Reports.

  • The Treasurer shall be responsible for maintenance of all money and accounting records in accordance with commonly accepted accounting principles
  • Preparing reports for the Council and Executive Committee 
  • Having the books audited through the Foundation.

  • Provide periodic announcements promoting the grant process at COSS meetings.
  • Encourage advertising opportunities within the Senior Resource Guide to fund the grant process.
  • Require that all grant applicants request a receipt for their grant application to insure that all applications are received and available for review by the COSS board.

  • Collect and disseminate a list of submitted grant applications to board members for review prior to the October board meeting.
  • Distribute copies of the grant applications to each attendee at the October board meeting
  • Facilitate a discussion of the grant applicant requests and available financial resources within the COSS treasury to award at the October board meeting.
  • Record a list of board decisions including awards and the financial amount as well as any denials. 
  • Notify ALL grant applicants of board decisions via email or postal mail.  For grant denials, an email or postal mail response indicating the reason for the denial should be sent.  Notification should include the amount of the award and an invitation to the November meeting for the check presentation. Instructions regarding the requirement of the grant evaluation form by May 1 and an invitation to provide an oral report to the COSS membership at the May meeting will also be included.  
  • Provide email notification of the grant recipients and the monetary amounts to the COSS treasurer in order to allow time to write checks for presentation at the November meeting.
  • Coordinate the announcements and award of the grants at the November meeting.
  • Retain a copy of the awarded grants for listing in the next COSS Guide to Senior Services and to be included on the COSS website.
  • Provide a copy of the awarded grants to the PR Chairperson to be distributed in a Press Release.
  • Send reminders to grant recipients about completing and sending the grant evaluation form by May 1.  Remind recipients of the opportunity to provide an oral report to the COSS membership.

  • Manage Social Media Accounts for COSS (Facebook) - respond to messages, post COSS related events and information via social media
  • Assist with website management
  • Liaison between members and board for social media needs and website needs
  • Manage PayPal Account - Membership, Ads, etc.
  • Assist with any further web development needs

  • 1 program speaker for each membership meeting. Programs are 15-20 minute presentations which are educational in nature and relevant to those working in the senior industry in the Fort Wayne area.
  • 2 informercials for each membership meeting. Infomercials are 3–5-minute marketing opportunities to share with the membership about their organi

  • 2 informercials for each membership meeting. Infomercials are 3–5-minute marketing opportunities to share with the membership about their organization highlighting any new activities or endeavors.
  • 1 membership meeting host. The host is responsible to provide food and drinks for the membership meetings and help to welcome people at the beginning of the meeting. It is an opportunity for the host to be highlighted and to provide a hospitable networking environment before and after the meeting.

After-Hours Events

The chair arranges 1 host for each after-hours events. The host provides the facility, food, beverages of choice, and a flier about the event to share with the membership. After Hours events are typically scheduled from 4:00 – 6:00 pm.

  • Maintain a data base of all members of COSS, including organization name, member name, address, phone number(s), and email address using Excel software.
  • Receive paid membership information from COSS treasurer and/or Pay Pal reports.
  • Record paid membership information in COSS data base.

    • Send additional renewal notices via emails to those members with dues still outstanding.
  • Send new membership information via emails to those organizations and/or individuals who express interest in joining COSS.

Membership Meeting and After-Hours Communications:

  • Send bi-monthly member meeting reminder notices to all COSS members via emails a 7 – 14 days prior to each meeting.
  • Send bi-monthly After-Hours Event information to all COSS members via emails a couple of weeks prior to each event.

Bi-monthly Member Meeting Responsibilities:

  • Attend bi-monthly meetings.
    • Greet members as they enter meeting room and have them sign in.
    • Check attendees against member data base list checking for paid vs. unpaid members.
    • Give completed sign-in sheets to COSS secretary following
